FUNCTIES

In coordination with the HR and Admin department in France, you will be in charge of the implementation of various HR & Admin tasks in the initial stage of the German Office implantation development phase. Among them: HR/Staff Management • Organize the arrival of new employees: • Create and Maintain personnel files – incl. contract, training certificates, new starter forms. • Time Recording and Payroll Process • Management of absences records • Assist Expatriate workforce Procurement/Purchasing • Book accommodation and transport for all staff as needed (hotels online and transport through company agency) • Order construction and other items with France purchasing department • Purchasing on request and records maintained • Maintain office supplies (ordering and stock check of products) Office Support • Manage the distribution and orders of office material • Management of utility suppliers • General office management and fire safety coordination (training will be provided) Administrative support: • Check all expenses claims (compliance, validity of expense, signature, package) • Act as receptionist when there are visitors/ calls • Organising all social staff events & business meetings/visits • Receive/ prepare company mail and file or distribute accordingly • Maintaining contact with Head Office in France • Assist the Director in collation of documents for tenders REQUIREMENTS: • Fluent in German and a good command of English • At least 2 years of experience in Office management
